In production at a DG Shipping licensed manning agency

From application to owner approval, on one pipeline

One employee record from first enquiry to signed contract. Tests, internal review and the owner decision sit on the same candidate, not in three tools and an inbox.

What was breaking

The recruitment cycle was a chain of spreadsheets, test scores in a separate folder, and approval notes in an inbox. Candidates sat in limbo between assessment, internal review and owner sign-off. Rejections were hard to reconstruct. There was no single tracker for sent to owner, approved or declined, and employee details were re-keyed when a contract was finally cut. Different vessels and groups used different templates, so the same rank on two ships did not follow the same path.

In the box

  • Structured tests and assessments with a recorded outcome on the candidate file
  • Internal approve or reject, then owner review, with a named status at every step
  • Tracking of who was sent to the owner, what was decided, and when
  • Employee record reused for contracts across vessels and crew groups
  • Handoff into onboarding and document generation without re-keying

What changed for the operator

Impact is stated in operational terms: what stopped happening, what became visible, and what the desk or the Master could do without a link.

One pipeline

Application, test, internal review and owner decision sit on the same candidate, not in three tools.

Owner in the loop

Approvals and rejections are tracked with a status the principal can follow without calling the agency.

Contracts from the file

Vessel and group specific contracts generate from the employee record already approved.

No second start

A cleared candidate moves into onboarding and voyage documents without a fresh data entry pass.

Offline behaviour. Assessment outcomes and approval decisions are recorded against the candidate so the desk can work a shortlist without waiting on a principal's inbox. When the owner responds, the decision lands on the same record rather than in a forwarded thread.

Questions we are asked

  • Can we run different approval paths for different owners?

Yes. Each principal can carry its own review path, document set and contract template while sharing one candidate database.

  • Does it handle DG Shipping licensing requirements?

The module was built with a DG Shipping licensed agency and records the assessment and placement trail that licensing and audit expect.

  • What happens to a rejected candidate?

The rejection, its reason and its stage stay on the file, so a later enquiry starts from history instead of a blank form.
