Privacy policy

Seafarerops processes two very different kinds of personal data, and this policy separates them. The first is information about visitors and prospective customers, where we are the controller. The second is crew and seafarer data held inside the application, where our customer is the controller and we act as processor on their instructions.

Who we are

Seafarerops provides maritime operations software to shipowners, ship managers, manning agencies and operators. For data we control, the contact point for privacy matters is info@seafarerops.com.

Data we collect as controller

  • Enquiry data. Name, work email, company, role, telephone number, fleet or crew size, product interest and anything you write in the message field.
  • Correspondence. Emails and meeting notes relating to your enquiry or account.
  • Technical data. IP address, browser and device type, pages viewed and referring source, collected through our website and analytics.

Why we use it

  • To respond to your enquiry and arrange a demo or assessment session
  • To provide and support the service under a contract with your organisation
  • To maintain security, prevent misuse and meet legal obligations
  • To improve the website and understand which content is useful

Our lawful bases are performance of a contract, our legitimate interests in operating and improving a business-to-business service, consent where you have given it for non-essential cookies, and compliance with legal obligations.

Crew and seafarer data

Where our software holds seafarer records, including identity documents, certificates, medical fitness records, contracts and wage information, the customer operating the account is the controller. Seafarerops acts as a processor and handles that data only on documented instructions, under a data processing agreement.

Seafarers who wish to exercise rights over their own records should contact the manning office, ship manager or owner that employs or engages them. If a request reaches us directly, we will pass it to the relevant customer rather than act on it ourselves.

Sharing

We do not sell personal data. We share it with hosting and infrastructure providers, with tools used for email, scheduling, customer relationship management and analytics, with professional advisers where necessary, and with authorities where the law requires it. Sub-processors used in delivery of the application are listed in the data processing agreement and customers are notified of changes.

International transfers

Seafarerops operates from India and hosts production infrastructure primarily on Amazon Web Services, with DigitalOcean used where that footprint suits the customer. Hosting region is agreed with each customer. Where personal data moves across borders we rely on appropriate safeguards, including standard contractual clauses where applicable.

Retention

Enquiry data is kept for up to twenty four months from last contact unless you ask us to remove it sooner. Customer account data is kept for the life of the contract and for the period afterwards agreed in that contract. Crew records inside the application are retained according to the customer's own retention policy and the record keeping obligations that apply to them.

Your rights

Depending on where you are, you may have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to processing, to receive it in a portable form, and to withdraw consent. Under India's Digital Personal Data Protection Act 2023 and the EU and UK General Data Protection Regulation, requests can be made to info@seafarerops.com. We respond within the period the applicable law allows and may need to verify your identity first. You also have the right to complain to your data protection authority.

Security

Security is treated as part of the product. Measures include role-based access control, encryption in transit, controlled dependencies and review of privileged paths, least-privilege service access, code-signed release artefacts, and handling of crew and owner records as regulated maritime data rather than generic application data.

Changes

We update this policy when our practices change. The date at the top shows the current version. Material changes affecting customers are notified directly.
