Crew onboarding is already in production at all three current Seafarerops clients. Client A, a listed agribusiness with its own refrigerated cargo fleet, uses it with documents management across every vessel. Client B, the Navi Mumbai licensed manning agency, runs it next to crew recruitment. Client C, the Manila manning principal, runs it next to crew accounting. The study below is written from the manning agency joining desk, which is where the pack is assembled before the ship sees it.

The problem

Joining packs, the NOAD list and letters of guarantee lived in Word and spreadsheet templates. A late crew change meant three documents to rebuild and three versions to police. STCW, medicals and visas arrived as scans with no matrix against the vessel. The Master at the gangway could not open a locked snapshot if VSAT was down. Shore could not prove that the list sent to the port matched the people the owner had approved.

What was deployed

  • Joining pack from the recruitment record: certificates, medicals, contract, company documents
  • Contract freeze and controlled release to the Master, including an offline vessel snapshot
  • NOAD, Notice of Arrival and Departure, crew list generated from assigned seafarers
  • Letter of guarantee produced per crew member from the same employee file
  • Exception desk for expired, mismatched or unreadable documents
  • Certificate watch on STCW, medical, vaccination and visa dates against the joining window

One source for the list

NOAD crew particulars come off the assigned roster. A late change updates the list instead of a hidden spreadsheet.

Guarantee that matches the person

Letters of guarantee generate from the employee file, not from a template someone last saved as final_v4.

Master ready to join

The vessel opens a frozen pack on the ship network, including during a VSAT outage.
